Under data protection law, individuals have a right to be informed about how the Leathersellers' Federation of Schools uses any personal data that we hold about them. We comply with this right by providing 'privacy notices' to individuals where we are processing their personal data.

Privacy notice for parents/carers

You have a legal right to be informed about how the Leathersellers' Federation of Schools uses any personal information that we hold about you. The full Privacy Notice can be found below and is also on the Leathersellers' Federation policy page.

The privacy notice explains how we collect, store and use personal data about pupils and their parents and carers.

The Leathersellers’ Federation of Schools is the ‘data controller’ for the purposes of data protection law. Our data protection officer is Mr Martin Cunningham (see ‘Contact Us’ below).

The personal data we process

Personal data that we may collect, use, store and share (when appropriate) about pupils includes, but is not restricted to:

• contact details, date of birth, identification documents
• results of internal assessments and externally-set tests
• pupil and curricular records
• characteristics, e.g. ethnic background or SEN issues
• safeguarding information
• any medical conditions including physical and mental health
• details of any behaviour issues or exclusions
• attendance information
• details of any support received, including care packages, plan and support providers
• photographs
• CCTV images captured in school
• Biometric information (in our schools where this is in use.)

Why we use this data

We use this data to:

• support pupil learning and monitor and report on pupil progress
• provide appropriate pastoral care
• protect pupil welfare and assess the quality of our services
• administer admissions waiting lists
• carry out research and comply with the law regarding data sharing
• to keep children safe (food allergies, emergency contact details)
• to meet statutory duties placed upon us by the Department for Education
   

Our legal basis for using this data

Under the General Data Protection Regulation, the lawbases we rely on for processing pupil information are:

• in accordance with the legal basis of Public task
• in accordance with the legal basis of Vital interests
• in accordance with the legal basis of Legal obligation

We may also process pupils' personal data where:

• we have obtained consent to use it in a certain way
• we need to protect the individual's vital interests (or someone else's interests.)

Some reasons for collecting and using pupils personal data overlap, so there may be several grounds that justify our use of this data.

Where we have obtained consent to use pupils personal data, this can be withdrawn at any time. We will make this clear when we ask for consent, and explain how consent can be withdrawn.

Collecting this information

In most cases parents/carers must provide the personal information we need to collect. Pupil data is essential for the schools' operation use. Whilst most pupil inforamtion you provide to us is mandatory, some is provided to us voluntarily. We will inform you at the point of collection whether you are required to provide certain pupil information to us or if you have a choice about this, and we will tell you want you need to do if you do not want to share this information with us.

How we store this data

We keep personal information about pupils while they are attending our schools. Unless we pass it to a college or sixth form, we are required by law to keep pupils’ school files until they are 25 years old.

Data sharing

We do not share personal information about you with any third party without consent, unless the law and our policies allow us to do so.

Where it is legally required, or necessary (and it complies with data protection law) we may share personal information about pupils with for example our local authority, the Department for Education and other agencies. See the full data protection - privacy notice document.

National Pupil Database

We are required to provide information about pupils to the Department for Education as part of statutory data collections, such as the school census.

Some of this information is then stored in the National Pupil Database which is owned and managed by the Department and provides evidence on school performance to inform research.

The database is held electronically and turned into statistics. The information is collected securely from schools, local authorities, exam boards and others.

Youth support services

Once our pupils reach the age of 13, we are legally required to pass on certain information about them to the relevant local authority or its representative as it has legal responsibilities regarding the education or training of 13-19 year-olds. This information enables it to provide youth support services, post-16 education and training services, and careers advisers.

Parents/carers, or pupils once aged 16 or over, can contact our data protection officer to ask us to only pass on your name, address and date of birth.

LRS Service

Your rights

How to access personal information we hold about you

You can find out if we hold any personal information about you, and how we use it, by making a ‘subject access request’. Parents/carers can make a request with respect to their child’s data where the child is not considered mature enough to understand their rights over their own data (usually under the age of 12) or where the child has provided consent.

Parents/carers also have the right to make a subject access request with respect to any personal data our schools holds about them.
